The clipboard at the gate is a delayed accreditation list
Someone printed the vehicle sheet at 6am. By 9am three extra sprinters arrived in a WhatsApp message. The steward either guesses or radios production. That is how unapproved vehicles end up on site.
Vehicle pass types, allocations and approvals live on the same event as people. Entry Gate marks arrivals against that live list. If it is not approved, the gate can see that.
Suppliers should register their own vehicles
Assign the vehicles module to the team. They add registrations in Team Portal. You approve the pass type the same way you approve a person.
The printed vehicle pass is what the gate needs to see on the dash. The pass designer covers branded, print-at-home vehicle passes. Wallet can remind the driver to collect. It is not the pass on the windscreen.
