Festival catering management for crew meals

Crew catering is easier when meal sittings, allocations and dietary requirements sit on the same people list as accreditation. AccredTix handles meal allocations and on-site redemption without turning into a full venue F&B system.

+ Who this is for

Who runs festival catering with AccredTix

Festival catering managers

You need sittings, numbers and dietary splits that match who is actually accredited today, not last week's export.

Artist liaison feeding camps

Hospitality riders and travelling party meals should follow the same artist team as the advance and the passes.

Production offices ordering crew meals

Departments should not inflate a headcount because they cannot see who already has an allocation.

On-site redemption staff

Scanning a meal ticket against a live allocation beats a highlighter on a printout in the rain.

+ What you can run

Crew meals attached to the accreditation list

If catering is working from a headcount export, it is already out of date. Meals should sit on the same people as the pass.

  • 01

    Meal sittings

Set up the sittings your festival actually runs and keep them visible to the teams that need them.

  • 02

    Individual allocations

Allocate meals to people, not just a vague headcount on a catering spreadsheet.

  • 03

    Dietary requirements

Capture dietary needs with the person record so catering and accreditation are not holding different truths.

  • 04

    On-site redemption

Redeem meal tickets on site against the allocation, including digital meal ticket scanning workflows.

  • 05

    Team-aware catering

Artist camps, production suppliers and crew teams stay organised because catering uses the same team structure as passes.

  • 06

    One event state

When someone is removed from accreditation, catering staff are not left guessing from an outdated meal list.

+ How it works

How catering sits on the same people as passes

A short path your team can actually follow, without inventing a second process around the software.

  1. 01

Turn on Catering for the event

Keep accreditation as the base, then enable Catering when crew meals become part of the plan.

  2. 02

    Define sittings and allocations

Set meal sittings and allocate them to people and teams.

  3. 03

    Collect dietary info

Bring dietary requirements in with the person data your teams are already submitting.

  4. 04

    Redeem on site

Catering staff redeem against the live allocation instead of crossing names off a printout.

+ In practice

Headcount catering is how you feed people who already left site

A catering spreadsheet that says "Main Stage Crew: 120 covers" cannot tell you that 14 of those people were never approved, or that 9 were revoked yesterday. You cook for a number. The number is wrong.

Individual allocations sit on the person. When accreditation changes, catering sees the same event. That is the whole point of putting meals on the roster.

Dietary requirements belong with the name

If dietary data lives in a form that never joins the meal list, the pass office and the kitchen disagree. Capture requirements on the person your teams are already submitting.

Sittings describe the service you actually run: lunch Saturday, dinner Sunday, breakfast in the compound. Allocations then attach people to those sittings.

Redemption is the check that the list was real

On-site staff redeem against the allocation, including digital meal ticket scanning. You see who ate, not only who was supposed to.

This is crew and team meal management. It is not a venue restaurant system, and it is not public concessions.
